A useful custom bag quotation starts with the intended use. Tell the manufacturer whether the bags are for retail, an event, food delivery, travel or another program. A reference image is helpful, but it should be accompanied by the features that matter to your order. Two bags that look similar can require different fabrics, construction and packing.

Start with the finished size. Give width, height and depth in a stated unit, and explain whether you need a flat bag, a bottom gusset or side gussets. If the bag will carry a particular product, include its approximate dimensions and weight. State your preferred handle or strap length and any pocket, zipper, lining or reinforcement requirements.

Describe the material as specifically as you can. Canvas, polyester, nylon, non-woven fabric and PP woven fabric are starting points rather than complete specifications. Fabric weight, coating, color, lining and finish can affect the construction and the quotation. If you have a reference sample, photos of the seams, handles and inside of the bag make the brief clearer.

Send your logo artwork and explain the number of print positions, colors and approximate print size. If you have a preferred printing method, include it; otherwise describe the visual result you need. Add any requirements for labels, hangtags, individual packaging or carton marks so these items can be considered with the bag itself.

Include the order quantity per design and color, the destination country and your target delivery date. Ask for the sampling plan and state whether you need a physical sample before bulk approval. MOQ, sample cost and the production schedule should be confirmed for the actual specification and current production plan.

Before approving an order, compare quotations against the same written brief. Confirm which dimensions, materials, printing, packing and delivery assumptions are included. Keep the approved sample and final specification together so both sides have a clear reference for production and inspection.
